Project Estimator 


Calculates pricing estimates for customers covering all types of printing/project requests, including but not limited to, screen printing and digital imaging, by analyzing drawings, specifications, proposals and other documents needed to complete an accurate price estimate.  


Essential Duties and Responsibilities  

  • Works closely with the President in order to streamline the sales process and help ensure customer needs are being met and balanced with the Company’s ability to respond; especially regarding customer needs and delivery of products.
  • Receives quotation requests from sales, customer service department, and customers.  Detailed specifications will be provided, as much as possible.  Creates project proposals using complete and accurate costs that meet Company objectives.
  • Gathers all information necessary to estimate job prices including artwork, materials, subcontracts, labor and outside purchases.
  • Prepares project proposal paperwork from CRC, and at times, create a custom proposal document.  Typical procedure is to send proposal to sales rep, but at times, may be requested to send directly to customer, or President for review.
  • Monitors gross profit level.  Takes appropriate action as necessary to be sure gross profit objectives are met (review with sales rep / bring to President’s attention).
  • Upon proposal acceptance by customer, converts estimate into order and follow procedures to do so.
  • Issues purchase orders for material and services required for each job which are not considered inventoried items as derived from CS160 report. (Outside Purchases / OSP’s). 
  • Review and order items listed in RQ140 & RQ310 modules as needed, review daily.
  • Orders all inks (Mutoh, Jeti / Titan, Screen) as requested by staff.
  • Run PO receipt reports each Friday to identify late arrivals of items ordered. Contact vendor for status.
  • Works with the President to balance price and profit against market penetration when entering new markets.  Controls sales figures in an accurate, orderly and balanced manner
  • Works closely with the Production Manager and the President to analyze actual project results against pricing estimates to be sure estimates are reasonable and accurate.
  • Assists the President in staying abreast of customer needs and issues.
  • Maintains and continues to develop product knowledge of alternative offerings and methods that may be of benefit to the Company through on-going training, study and observation of technical/product trends, new product developments and competitive actions.
  • Makes sure all his customer information submitted to the President and/or Production Manager is accurate, timely and complete consistent with good record keeping.
  • Maintains a friendly, courteous and pleasant attitude with Customers and fellow Associates.  Dresses in neat and clean casual business attire.
  • Works with the other Sales Staff to maintain a clean, neat and attractive sales area, sales desk and conference room.
  • Proactively investigates, seeks out and recommends better ways to improve sales, profits and save money through better operating methods, the elimination of duplicate or unnecessary duties and other means consistent with improving quality & service to the customer.
  • Confers, meets with and provides assistance to the President and Production Manager to help resolve general company problems and needs; especially in the area of sales.
  • Files completed job jackets and maintains organization of filing area and system including end of the year filing and creating place for upcoming year’s job jackets.
  • Handles additional responsibilities as assigned by the President to assist in the successful operation of the Company.

Education and/or Experience 

High School Degree or equivalent, plus

  • One to three years of experience in an administrative position using math and computer skills below
  • One to three years of experience within a print environment similar to SGT, in order to apply the knowledge towards the estimating position.
  • Exceptions are possible at the discretion of the President.


Language Skills 

Ability in English to read, analyze and interpret basic business documents and specifications relating to printing work, labor and materials.  Ability to effectively present information to small customer groups and interact effectively with Management.  Ability to write effective business letters.


Mathematical Skills

Ability to understand and use algebraic and basic math, in order to apply discounts, interest. commissions, percentages and ratios.  Have an understanding of geometry to interpret space, shape and size dimensions.  An estimating math test will be given during application process.  


Computer Skills

Must be computer literate with one to four years of experience using computers in a business environment (ERP Systems).  Must know and have basic experience using Microsoft Excel and Word.  Knowledge of pricing or accounting software is a major benefit.


Reasoning Ability

Ability to apply common sense, define problems, interpret data, establish facts and draw valid conclusions.  Ability to understand the full possible consequences and implications of company sale decisions.  Must be able to deal with abstract & concrete variables.

Physical Demands

While performing the duties of this job, the employee is required to walk, hear, and to lift/carry objects of up to 15 pounds.  The employee is also required to have average dexterity to use arms, hands and fingers to handle, feel and reach.   Specific vision abilities include close vision, distance vision, depth perception, color vision and ability to adjust focus.


Work Environment

While performing the duties of this job, this person spends time at the Company office and print shop.  While in the office, the associate may be exposed to moving mechanical parts, hazardous office chemicals (i.e. copier toner, etc.) and the risk of electrical shock from office equipment and related items.  This Associate may also be in the printing and finishing shops with the possible exposure of moving mechanical parts, electrical shock, dust particles, hazardous chemicals, unstable material placement and other common hazards found at a Print Shop.  The noise level in the work environment is usually quiet, except moderately loud when in the Print Shop. 


Work Hours

  • Standard Forty (40) hours per week, with the potential of overtime.  Actual daily hours will be assigned by senior management and will normally be between 8:30 A.M. and 5:30 P.M.
  • Additional hours may also be needed for training, meetings, special projects, or to meet deadlines.
